Class party sign-up sheet

Class parties are short, loud and over in an hour. The planning is the long part, and it usually falls to a room parent with a group chat. One sheet with a limit on every line covers food, supplies and helpers in a single link.

What a class party needs

For 20 to 25 children, plan for:

  • One fruit tray and one veggie tray
  • Two savory snacks and two treats, no more
  • Drinks for everyone, juice boxes or water
  • Plates, cups and napkins
  • Supplies for one craft or game
  • Two or three parent helpers

The treats line is the one to watch. Every parent wants to bring cupcakes, and the children will already have had sweets at lunch. Two treat slots, clearly limited, keep the table balanced.

Allergies come first

Before you send anything, ask the teacher for the class food rules. Put them at the top of the sheet, in plain words: "No nuts. Store-bought with labels, please." Parents skim, so lead with this rather than tucking it under the craft list.

If a child cannot eat the party food, the teacher usually knows already. Ask whether you should add a safe treat for them so they are not left out.

One craft, one game

An hour goes faster than you would think. One craft and one game is plenty for most ages, plus food and cleanup. Put the craft supplies on the sheet as a single line, and say what they are for: "Paper plate masks: plates, glue sticks, feathers." A parent who knows the plan buys the right things.

Helpers

Two or three parent helpers is the right number for a classroom of 25. More than that and the room fills with adults. Use a limit on the helper line. Extra parents who want to come can join the waitlist, and if a helper cancels, the next one gets an email.

Timing

Send the sheet about two weeks ahead. Close it three days before the party so you can buy anything still missing. A reminder the evening before tells parents when and where to drop food off, which is usually the school office in the morning.

A ready list

The starter list above covers a typical holiday, Halloween or end-of-year party. Paste it into Dibs and every line gets its own limit. Parents claim a line from the class group chat with no account and no ads, and you can show first names only if the school prefers it.

Class party sign-up sheet: questions

What do you need for a class party?

For 20 to 25 children: one fruit tray, one veggie tray, two savory snacks, two treats, drinks, plates and napkins, supplies for one craft or game, and two or three parent helpers.

How many sweet treats should a class party have?

Two at most. The children will have had treats all day. A limit on the treats line keeps the cupcakes from outnumbering everything else.

How do I handle food allergies at a class party?

Ask the teacher for the class rules and put them at the top of the sheet. Many classrooms ask for store-bought food with labels when there are allergies.

How many parent helpers do I need?

Two or three for a class of 25. More than that and the room gets crowded. Use a waitlist for extra parents who want to come.
