Church volunteer schedule

Sunday serving runs on the same few faithful people unless someone makes it easy for everyone else to say yes. A schedule laid out by service and role, with a clear number on each, lets newer members see exactly where they are needed.

Lay it out by service and role

Each Sunday service gets its own row of roles: greeters, ushers, nursery, coffee, sound, readers. Put a limit on each so you get the two greeters you need and not five, while the nursery sits short.

Plan a month at a time. Four or five Sundays is easy to commit to, and you can share next month's sheet in the bulletin on the last Sunday.

The roles that go short

Nursery and children's ministry are usually the hardest to fill, and they matter most. Most child-safety policies call for at least two unrelated adults in a room with children. Check yours, set the limit to match, and say in the slot name if training or a background check is needed: "Nursery, checked volunteers only". Dibs shows the slot, but it is still up to you to check names against your list.

Sound and slides need someone who knows the desk. If only three people can do it, give them their own short sheet rather than leaving it open to everyone.

What to ask

Most roles need nothing beyond name and email. For coffee, ask "Bringing anything to eat?" so you know whether someone is bringing pastries. For readers, ask if they would like the passage emailed ahead of time.

Getting newer members involved

The sheet itself helps. A new member who would never ask the pastor where they can help will happily tap "Greeter, 11am" on their phone. Say in the description that no experience is needed for greeting and coffee, and name a contact for questions.

Avoid a public tally of who serves most. Show first names, or "taken" only, if your congregation prefers it.

Reminders

Send a reminder a few days before and another on Saturday evening. The Saturday one is the one that gets people up on time. Each reminder includes the volunteer's own link to cancel or swap, which means you hear about a gap on Saturday instead of discovering it at 8:55 on Sunday.

A ready list

The starter text above sets up one Sunday with two services and four roles each. Copy the lines for each Sunday of the month when you paste it into Dibs. Volunteers sign up from the link in your newsletter or group chat, with no account and no ads, and you get a print view to pin in the welcome area.

Church volunteer schedule: questions

How far ahead should we schedule church volunteers?

One month at a time works for most congregations. People can see a month in their calendar. A whole quarter is easier for you, but more people forget or move away.

How many nursery volunteers do we need?

Most child-safety policies ask for at least two unrelated adults in a room with children. Check your own church or denomination policy and set the slot limit to match.

Can we restrict some roles to trained volunteers?

Put the requirement in the slot name, such as 'Nursery (background check done)', and check names against your list. Dibs does not verify training for you.

How do volunteers swap a Sunday?

From the link in their confirmation email they can move to another open Sunday or cancel, and the next person on the waitlist moves up.
