VBS volunteer sign-up
Vacation Bible school is a week of crafts, songs and snacks for dozens of children, and it takes as many adults as a small school. The planning starts months ahead and the volunteer sheet is the part that keeps the coordinator up at night. Laying it out by station and day, with a limit on each, shows exactly where the holes are.

Crew leaders first
Crew leaders walk a group of children from station to station all week. They matter most, so recruit them first, and ask for the whole week. Children settle better with the same face each morning. Plan around one leader for every 8 to 10 children, and pair younger children with a teen helper as well.
Stations by day
Everything else can be signed up day by day:
- Crafts, two or three adults per day
- Snacks, two or three adults to prepare and serve
- Music and worship, a leader and a helper
- Games or recreation, usually outdoors
- Check-in and check-out, two people every morning and afternoon
Day-by-day slots let parents who work part-time give one or two mornings. That is often how you fill the gaps.
Snack donations on the same sheet
VBS goes through a lot of crackers and juice boxes. Put snack donations on the sheet as their own lines, with quantities: "Goldfish crackers, box x4", "Juice boxes, case x4". Families who cannot volunteer during the day can still help, and the snack team knows what to expect.
Safety
Most churches require background checks and training for anyone working with children. Say so in the description, link to your process, and check every name on the sheet against your approved list before the week starts. Dibs shows who signed up. It does not verify checks for you.
Check-out deserves its own line. Children should only go home with an approved adult, and the check-out desk needs people who know the procedure.
Timing
Open the sheet six to eight weeks before VBS and announce it from the front on Sunday. Send a mid-point update that names the gaps: "We need 3 more crew leaders and someone for Thursday snacks." Reminders go out two days before each volunteer's first day, and again the evening before.
A ready list
The starter text above covers crew leaders, check-in, three stations for the first two days, and snack donations. Copy the station lines for each day when you paste it into Dibs. Volunteers sign up from your bulletin, website or a QR code in the lobby, with no account and no ads.
VBS volunteer sign-up: questions
How many volunteers does VBS need?
Plan one crew leader for every 8 to 10 children, plus two or three adults at each station and a check-in team. For 80 children, that is around 25 to 30 adults across the week.
Should crew leaders commit to the whole week?
Yes, if possible. Children settle better with the same leader every day. Station helpers can sign up day by day.
Can teenagers volunteer at VBS?
Many churches use teen helpers alongside adults. Put them on their own lines, such as 'Teen helper, crafts', so you can pair them with an adult leader.
Do VBS volunteers need a background check?
Most churches require one for anyone working with children. Say so in the description with a link to the process, and check names against your approved list.
