Concession stand volunteer sign-up

The concession stand pays for the uniforms, the referees and half the end-of-season party. It also needs four people every game night for the whole season. A sign-up sheet split by game and role, with each family asked for a set number of shifts, keeps it staffed without a weekly plea in the team chat.

Two shifts per game

Split each game into two shifts of about 90 minutes, one before kick-off and the first half, one for halftime and the second half. Every volunteer gets to watch part of the game, which is the real reason parents put off signing up. Add a short closing shift for cleanup and counting the cash box.

Roles

A stand with a grill usually needs:

  • Two on the grill or hot food
  • Two on the counter and cash, or card reader
  • A runner for the rush before kick-off and at halftime, if the stand is busy

Keep the roles on the sheet. "Grill" and "Counter" let a parent who hates cooking choose the job they want.

Ask for a fair share

Work out how many shifts the season needs and divide by the number of families. For 10 home games with 8 volunteers each, that is 80 shifts across, say, 25 families: three or four each. Put that in the description, "Each family please takes 3 shifts", and set a per-person limit so the keen parents do not do it all.

If your league lets families opt out for a fee, say so plainly. Dibs does not take payments, so handle that separately.

What volunteers need to know

  • Where the keys and cash box are, and who has them
  • Opening and closing checklist, taped inside the door
  • Food handling rules for your area, if any
  • Who to call if the propane runs out

Print the season's sheet and tape it inside the stand. It doubles as the record of who was on duty.

Rain and reschedules

When a game moves, change the date on its slots. Everyone signed up for that game gets an email and can keep the new date or swap to another game from their own link. It beats finding out that nobody knew at 5:25pm.

A ready list

The starter text above covers one game night with two shifts, two roles each, and a closing shift. Repeat the lines for each home game when you paste it into Dibs. Parents claim shifts from their phone with no account and no ads, and get a reminder the day before.

Concession stand volunteer sign-up: questions

How many volunteers does a concession stand need?

A small stand with a grill needs about four people at a time: two cooking and two at the counter. Add one more for the rush before kick-off and at halftime.

How long should concession shifts be?

Split each game into two shifts of about 90 minutes, so every volunteer gets to watch half the game. Add a short closing shift for cleanup and counting the cash.

How do I make sure every family does a shift?

Say how many shifts each family is asked to do in the description, and set a per-person limit to spread them out. The dashboard shows who has signed up, so you can follow up with the rest.

Do volunteers need food handler training?

It depends on where you are and what you serve. Check with your league or local health department and say so in the slot name if it applies.
