School auction donation sign-up
A school auction runs on dozens of small donations that need to add up to something people will bid on. The class basket is the usual format. Each class picks a theme, each family gives one item, and the room parent wraps it up. A sign-up sheet that lists what the basket needs, with a limit on each item, is how you avoid a basket of nine candles.

Pick a theme people can shop for
Good basket themes are concrete and easy to buy for:
- Family movie night: popcorn, snacks, a board game or DVD, a blanket, a cinema gift card
- Garden: tools, seeds, gloves, a nice pot, a garden center voucher
- Game night: two or three board games, snacks, a puzzle
- Baking: mixing bowl, baking pans, a cookbook, quality vanilla and chocolate
Avoid themes that rely on one expensive item. A basket of ten modest things looks generous. A basket waiting on one family's big donation looks empty until the last week.
List the items, then cap them
Break the theme into items and give each a number. "Popcorn and snacks x3" means three families, then it shows as full. Add one line for the basket and wrapping, and one for a gift card that several families can put toward. Open-ended "anything for the basket" lines tend to collect duplicates.
Give a price guide in the description, like "Items around $10 to $20". It helps families who have no idea what is expected, and it keeps things fair.
Drop-off
Say exactly where and when donations go: "Bring items to the classroom by Friday, March 7. Label them 'Auction, Room 4'." Then remind families a week before and two days before the deadline. A basket that is still half-empty a week before can be topped up with a gift card.
Auction night volunteers
The evening itself needs helpers too. Put the shifts on the same sheet or a second one:
- Setup, a few hours before doors open
- Check-in desk at the start
- Checkout and payments at the end, which is when everyone leaves at once
Checkout is the shift that matters most and fills last. Name it plainly and ask for three or four people.
Privacy and fairness
Families give what they can. Showing "taken" rather than names on donation lines keeps it from becoming a comparison. Organizers still see every name on the dashboard.
A ready list
The starter text above is a movie night basket plus three auction night shifts. Paste it into Dibs, change the theme for your class, and share the link with the class parents. Families claim one item from a phone with no account and no ads, and get a reminder before the drop-off date.
School auction donation sign-up: questions
What is a class basket for a school auction?
Each class builds a themed basket from small donations, such as a movie night, garden or game night basket. Families each give one item and the basket goes up for auction.
How do I stop a basket ending up with ten of the same thing?
List the items the theme needs, each with a limit. When popcorn has three families, the next family sees it as full and picks another item.
Can families donate money instead of items?
Dibs does not collect payments. Add a line such as 'Contribution to the gift card' and collect the money the way your PTA usually does.
Should the sheet show who donated?
Many PTAs show 'taken' only, so families who give a small item do not feel compared with those who give more.
